2. Information We Collect

2.1 Account Information

When you register an organization on TechCerta we collect your name, email address, organization name, and billing information. This information is necessary to provide you with the service.

2.2 Technician and Team Data

Administrators may add technician profiles including names, email addresses, phone numbers, and role assignments. This data is entered by your organization and remains under your control.

2.3 Job and Operational Data

TechCerta stores job records including customer names, phone numbers, addresses, device information, job notes, spare parts used, and financial records such as service fees and technician compensation. This data belongs to your organization.

2.4 Usage Data

We automatically collect information about how you interact with TechCerta, including pages visited, features used, browser type, IP address, and session duration. This helps us improve the platform.

2.5 Payment Information

Subscription payments are processed by Paddle, our payment provider. TechCerta does not store your credit card details. Paddle's privacy policy governs payment data processing.

3. How We Use Your Information

  • To provide, maintain, and improve the TechCerta platform
  • To process subscription payments through Paddle
  • To send transactional emails such as account verification, password resets, and subscription notices
  • To send trial expiry reminders and product updates (you may opt out at any time)
  • To detect and prevent fraud, abuse, or security incidents
  • To comply with legal obligations

We do not sell your data to third parties. We do not use your data for advertising purposes.

4. Data Storage and Security

Your data is stored on secure servers hosted via Coolify on cloud infrastructure. We use industry-standard encryption in transit (HTTPS/TLS) and at rest. Access to production data is restricted to authorized personnel only.

While we take security seriously, no system is completely immune to risk. We encourage you to use strong passwords and to notify us immediately at support@techcerta.com if you suspect unauthorized access.

5. Data Retention

We retain your data for as long as your account is active. If you cancel your subscription and request deletion, we will remove your organization data within 30 days, except where we are required to retain it for legal or financial compliance purposes (typically up to 7 years for financial records).

6. Sharing of Information

We share your data only with:

  • Paddle — for payment processing
  • Google (Gemini API) — for AI-powered quiz generation from training documents; only document content you explicitly submit for this purpose is sent
  • Infrastructure providers — for hosting and email delivery (Zoho Mail)
  • Law enforcement — when required by applicable law

7. Your Rights

Depending on your location, you may have the right to:

  • Access the personal data we hold about you
  • Request correction of inaccurate data
  • Request deletion of your data
  • Export your data in a portable format
  • Object to or restrict certain processing
